Define the funnel before doing the maths

An inquiry is not automatically qualified, booked or closed. A lead-response scenario must state the number of inquiries and the conversion assumption at each stage. Keep the denominator clear: a booking rate applied to qualified inquiries is different from one applied to every inquiry. The calculator models a sequence; it does not determine whether those assumptions are realistic.

An explicit example

Start with 100 inquiries. Suppose 50% qualify, 40% of qualified inquiries book and 25% of bookings close. That produces 100 × 0.50 × 0.40 × 0.25 = 5 expected jobs. At an assumed $200 gross profit per job, gross profit is $1,000. Subtract $250 campaign spend to get $750 contribution. ROI on this defined spend is $750 ÷ $250 × 100 = 300%.

Separate gross profit from job revenue

The example’s $200 is gross profit per job, not the customer invoice total. Entering revenue where the model expects gross profit can inflate the result. Campaign contribution also does not automatically subtract company overhead, software, call handling or fixed labour unless you include them in the assumptions. Define which costs the ROI denominator includes before comparing campaigns.

Compare one assumption at a time

If the close rate rises from 25% to 30% with every other input unchanged, expected jobs become six, gross profit becomes $1,200 and contribution becomes $950. That is a hypothetical scenario, not evidence that faster response causes the improvement. Save the original scenario and label the changed rate clearly. Real evaluation needs observed counts and a sensible comparison period.

Handle zero spend honestly

A campaign-spend input of zero makes this ROI ratio undefined because the denominator is zero. Contribution can still be calculated, but a displayed infinity or arbitrary percentage would be misleading. Fractional expected jobs also represent a modelled average, not a promise that part of a job will occur. Review actual funnel counts alongside the estimate.

From scenario to a practical pilot

Record which inquiries are in scope, what qualification means and how bookings and sales are tracked. Agree on acceptance rules before purchasing a lead service. A pilot should measure response completeness and actual outcomes rather than accept a demonstration’s percentages as benchmarks.
